Hackathon – Rules of Participation


Introduction

Hackathon “My Smart City” is organized by the City of Zadar in cooperation with the Mozaik grupa d.o.o as part of the My Smart City project with the aim of encouraging and developing cooperation with young talents in the development of new solutions in the IT sector. The hackathon will be held at the Church St. Dominik, 23000 Zadar, from Thursday, September 9th from 10:00 am to Friday, September 10th 2021 at 10:00 am. If public health situation requires it at the time of hackathon, the hackathon will be held online.

Hackathon is a marathon competition where teams work on innovative solutions according to a given and chosen theme, whether in the form of mobile applications / websites or in the form of developing a concept based on team’s idea. The hackathon lasts for 24 hours. There are two levels: hackathon for pupils and hackathon for students and young people aged from 18 to 27 years.

The default hackathon themes, both for pupils and students, are secret and will be posted on the very day the hackathon competition begins.

All hackathon participants will be provided with free Wi-Fi, electricity, printer, paper, food, and drinks. Participants should bring their own devices (laptop, cell phone, tablet) with them. During the competition, the organizer provides support and other technical conditions for conducting the competition. The hackathon competition is also attended by two expert mentors and two technical mentors who are available during the 24 hours of the hackathon. If the hackathon is held online, the teams will communicate with the mentors online.

Rules of participation

Hackathon is open to pupils and students and young people aged from 18 to 27, future developers, designers, and creatives regardless of their professional qualifications. Individuals and teams consisting of 1 to 5 people can participate within one team. During registration participants insert requested data into registration fields and by their registration guarantee that they have inserted correct and full information. Employees and associates of organizers, partners and sponsors cannot participate in the hackathon.

Only high school pupils from Croatia and abroad can register for hackathon for pupils, regardless if they attend specialized school or gymnasium.

Registrants for the hackathon for students can be students of universities or higher education institutions from Croatia or abroad, as well as young people aged from 18 to 27 years.

By filling the registration form and registering via registration page, as well as by taking part in the hackathon, participant give their consent to the organizer to process and use personal data from the registration regardless of their solution wins or not. The organizers may use the collected data on the applicants for the purpose of potential future cooperation as well as for the purpose of future activities of the organizers, including marketing activities. The organizers will handle the data about participants in accordance with the law governing the protection of personal data.

Participation in the hackathon is free of charge. All participants in the hackathon must register individually or in the hackathon team by 8th September 2021 on the official event website www.mysmartcityzadar.com. By registration participants accept the terms of this Rules of participation. Changing teams is not allowed.

Event attendees are required to work on innovative solutions for the task that will be presented to them at the beginning of the event.

Choosing a winner

The Organizer appoints a Committee to select the best team. All participants will present their solution to the Committee, after which a winner will be selected. The selection of the winner will be carried out by the Committee on the basis of the following criteria and scoring from 1 to 10:

(ii) Strategic thinking

(iii) Practical implementation

(iv) Presentation

The solution that gets the largest number of points will win the award.

To participate in the selection, the teams must present their solutions to the Selection Committee on 10th September 2021 at the conference at the time scheduled by the organizer. If the hackathon takes place online, the teams will be scheduled an appointment to present their solution to the Committee online on 10th September 2021.

All participants and teams must be available during the scheduled trial period (live or online) to demonstrate their solutions. If a judge or participant points out a conflict of interest to the organizer or sponsor, that judge or participant will be replaced if possible or dismissed unless a different solution can be found. The solutions of individual participants and teams must be original, self-created and newly written during the hackathon and must not be the solutions used in other competitions or similar Hackathon competitions. “Newly written” means that participants may not in any way copy software codes already privately in use and submit them as part of their solution. Solutions may be subject to due diligence at any time to verify do they comply with these Terms and does the Team complies with these Terms. The determination of eligibility and compliance is at the discretion of the organizer and sponsor. The Organizer reserves the right to disqualify any solution if the solution provided by an individual participant or team does not comply with the Terms.

Prizes

Prizes are awarded as follows:

The hackathon for pupils team whose solution wins first place (the highest score by the Committee) will win a cash prize of 666,66 EUR (equivalent to 5,000 Croatian kunas).

– The second and third placed teams of the hackathon for pupils will win a trip to Tehnopolis in Nikšić and gadgets for the team.

– The hackathon for students team whose solution wins first place (the highest score by the Committee) will win a cash prize of 1.333,33 EUR (the equivalent of 10,000 Croatian kunas).

– The  hackathon for students teams, whose solutions wins second and third place, will win a trip to Tehnopolis hackathon in Nikšić and gadgets for the team (team that places 2nd).

If, at the time of announcing the winner, the winner or his/her team are unavailable without first notifying the organizer of their absence, the prize and the right to the prize may be transferred to the next entrant or team that is next in the scoring sequence. The “inaccessible” winner loses the rights to the prize due to the inability to deliver it and as such waives all further claims thereof.

Publicity

By registering for the hackathon, the participant agrees that their name, photo and similar information will be used for advertising and publicity.

Compensation

You hereby waive the indemnity, compensation, right to hold the organizer and sponsor of their parent companies, affiliates, branch offices or other coordinating agencies, individuals who provide services to the organizer and sponsor through the client, directors, officers, employees associated with the hackathon of any damages, injuries, harm, cost or loss of property and / or liability of any nature arising in any way from participating in the hackathon, accepting or using the prize, parts thereof, including, (i) any claim that the solution infringes the intellectual property of third parties or proprietary rights; (ii) any injuries, losses or damages (compensatory, direct, incidental, consequential or similar) of any kind incurred in connection with or as a result of the award, its acceptance, its use and participation in the hackathon itself; (iii) any typos or typographical errors in any hackathon-related material; technical errors that could damage your ability to participate in the hackathon; (iv) (presentations).

Waiver

In no event will the organizer and sponsors be liable for any direct, indirect, special, applied, punitive or consequential damages (including loss of information, rights, business or profits) arising out of or incurred in connection with your participation in the hackathon, whether such claims have been made under contracts, warranties, rights (including negligence), liability or similar and whether or not the organizer and sponsor were aware of the possibility of such damage or loss.

Some jurisdictions do not allow limitations or exclusions of liability for incidental or consequential damages, so the above limitations or exclusions may not apply to you.

General

Hackathon is subject to state, local laws and regulations. The organizer and sponsors offer the hackathon and are not responsible for (i) late, lost, damaged, incomplete or misdirected entries, replies or other correspondence, by email, postal service or otherwise; (ii) theft, destruction, unauthorized access or alteration of reports; Or (iii) telephone, electrical, network, computer, hardware, software or communication failures and difficulties.

The Organizer and sponsors reserve the right, at their sole discretion, to cancel, modify or suspend the hackathon in whole or partially, in the case of fraud, technical or other difficulties, or if the hackathon integration is compromised, without further liability to the participant.

The organizer and sponsors reserve the right to disqualify any participant at their discretion. All disputes will be resolved peacefully, but if this is not possible, these provisions determine the jurisdiction of the Zadar court.

Various

Upon completion of the hackathon, all applications remain the property of the teams that created them and the organizers and partners have no right to use the presented conceptual designs in this format and form without the consent of the team that designed and created the solution.

Participants will not submit any offensive, untrue or unsavory content and will not hold the organizers responsible for any content submitted for the purposes of this competition.

Each entrant further declares and warrants that his or her work has not been previously published and has not won any awards previously.

Participants authorize the organizers to record and photograph, and photographs and recordings will be used for publicity or for the purpose of conducting promotional activities in any format or medium.

Participants will not hold the organizers responsible for any loss or damage that may occur to them or their property. Organizers reserve the right, at any time, to unilaterally terminate, modify or suspend a hackathon for any reason, without prior notice. Organizers reserve the right to disqualify, at their sole discretion, any participant who acts against these terms or in a non-sporting or unfair manner.

The organizers are not responsible for resolving any disputes between team members.
